ApaWizard Terms of Use and Privacy Policy

Welcome to ApaWizard, a web-based application that converts APA 7–style DOCX manuscripts into JATS-compatible XML and provides related editorial tools. By accessing or using the Service, you agree to the following combined Terms of Use and Privacy Policy (“Terms”). Please read them carefully.

1. Early Access and Use of the Service

ApaWizard is currently offered free of charge to allow users to explore and test all its main features. You may perform one of each core action per day, including:

• 1 new journal profile
• 1 new article conversion
• 1 journal edit
• 1 article edit
• 1 file upload

Soon, paid plans will be introduced to offer higher daily limits — your files, account, and data will always remain safe and accessible. The Service is intended for academic and professional publishing. You are responsible for ensuring your manuscripts follow APA 7 structure and for verifying final XML outputs before publication.

2. Accounts and Registration

Creating an account is required to use most features.

You agree to provide accurate information (name, email, institution, role, and country) and to keep it up to date. Accounts are personal, non-transferable, and protected by your chosen credentials.

3. Data Handling and Privacy

ApaWizard collects and processes limited data to operate effectively.

Information we collect

• Account data (name, email, institution, role, country).
• Uploaded manuscripts and generated XML outputs.
• Usage data such as IP address and interactions, for analytics and security.

How we use it

• To provide and improve the Service.
• To process conversions and store your metadata.
• To maintain security and prevent abuse.
• To communicate about account-related matters and product updates.

Storage and retention

• Your uploaded and generated files remain stored securely in your account.
• Data may be deleted upon request or after extended periods of inactivity once the free stage concludes.

4. Security

We use encrypted connections (HTTPS) and secure hosting environments to protect your information. Despite these measures, no online service can guarantee absolute security, and you use the Service at your own risk.

5. Intellectual Property

All rights to the Service, its design, and source code belong to ApaWizard. You retain ownership of your manuscripts, XML files, and related materials uploaded or created through the platform.

6. Disclaimer of Warranties

The Service is provided “as is” without any warranties of accuracy, availability, or suitability for a particular purpose. Although ApaWizard automates APA-to-JATS conversion, final validation against specific publisher requirements (e.g., SciELO, PMC, Crossref) remains your responsibility.

7. Limitation of Liability

ApaWizard is not liable for indirect, incidental, or consequential damages arising from your use of the Service. Our total liability for any claim will not exceed the amount you have paid to ApaWizard, if any, in the preceding 30 days.

8. Modifications

We may update these Terms from time to time. Any changes will be posted on this page with an updated Effective Date. Continued use of the Service after updates means you accept the revised Terms.

9. Governing Law

These Terms shall be governed by and construed in accordance with applicable laws. In case of any dispute, ApaWizard and its users agree to seek an amicable resolution before pursuing legal action.
